How to Use Email Tracking in HubSpot

Before you start to use HubSpot email tracking, we suggest you establish some company guidelines. This way everyone is on the same page about how to reach out to a lead after you receive notification they have opened your email or taken another action.

In addition, consider adding a disclosure to your company's privacy policy, so that people signing up for newsletters, blogs and any other email subscriptions are aware of how their actions are being tracked.

Now, you are ready to start tracking!

Step 1 - Install

You can install HubSpot email tracking.

Step 2 - Write an Email

Use the information that's been collected about your lead to customize an engaging, meaningful email. This can be done within HubSpot or from Gmail, G Suite, and Outlook or Office 365. Again, you can see this information by opening the contact record inside the HubSpot CRM or visiting the Activity Feed under Contacts.

Step 3 - Check the "Track" Box

Emails that have the ability to be tracked will have a checkbox that appears in your email browser toolbar, once you download the tool. This then allows you to pick and choose what emails to track.

You also have the ability to log an email and add a new contact to your HubSpot CRM. Emails that are logged to HubSpot using the extension will automatically be associated to the recipient's contact record, its associated company record, and the five most recent open deal records associated to the contact.

Below are the various extensions available to do this:

  • HubSpot Sales Chrome extension
  • HubSpot Sales Office 365 add-in
  • Sales Outlook desktop add-in

With the HubSpot Sales Chrome extension or the HubSpot Sales for Windows tray app, real-time notifications are triggered when a lead:

  • Revisits your site
  • Opens or clicks a tracked document
  • Views a shared document
  • Books a meeting

These notifications will appear in real-time, and can be reviewed and managed from your activity feed in HubSpot.

HOT TIP: Free users only receive 200 notifications per month. If this monthly limit is reached, you can still send tracked emails and receive instant notifications, but your activity feed will not show these notifications until your notification count resets on the first calendar day of each month.

If you are sending an email to a contact from their contact record within the HubSpot CRM or from the associated company, deal, or ticket record with SalesHub, then HubSpot automatically embeds an invisible one-pixel image into the email message once it's sent. When your recipient views the email and the images load, you receive a notification that the email has been opened.

HOT TIPS:

  • You'll need to connect your inbox to HubSpot to be able to do this.
  • In addition, Marketing emails are automatically tracked with pixels as well, so you will be able to see stats like the ones below on the performance tab of your email.
    • Sents
    • Delivered
    • Opened
    • Clicked
    • Bounced
    • Unsubscribed
    • Spam reports
    • Not sent
